ASSISTANT OFFICE/FACILITY MANAGER

Scope

  • Reporting directly to the Director of Operations and the Office Manager, the assistant office manager key role is providing the Director with administrative support and facilitating the day to day office activities.

Job description

  • Provide superior customer service to all clients, suppliers, and the public by responding professionally and promptly to all questions, inquires whether by phone, email, or in person.
  • Assist office manager with smooth and efficient implementation of company policies and procedures.
  • Reception & Administrative support
  • Monitor phone lines and promptly answer, assess and direct calls
  • Typing, internal paperwork and general assigned administrative tasks such as photocopy, fax documents & filing
  • Maintain EZ – Facility computer program and update client information and accounts
  • Coordinate and schedule internal and external appointments, meetings and resource allocation such as hockey arenas, instructors/trainers
  • Collect payments, process credit cards, enter payments, issue receipts
  • Assist in monthly accounting duties and filing
    Assist in scheduling, ordering, maintaining inventory and coordinating facilities operations.

SHIFT

  • Monday to Friday: 9am to 5pm
  • Saturday & Sunday: 8am to 4pm
  • Shift is based on a 5 day schedule
  • Must be able to work one day on the weekend and the occasional evening shift

Qualifications

  • Minimum of 3 years related administrative experience
  • High School Diploma
  • Working Knowledge of MS Office – Word, Excel, Outlook
  • QuickBooks accounting program experience an asset
  • KNOWLEDGE OF THE GAME OF HOCKEY a strong asset
  • Strong communication skills – verbal and written
  • Positive can-do attitude, co-operative, willing to do what it takes to get the job done
  • Customer service orientated, professional and responsive
  • Strong interpersonal skills, ability to multi-task and prioritize projects
  • Adaptable, patient, and able to work productively under pressure
  • Strong organizational, prioritizations and time management skills
  • Ability to work well independently, as well as part of a team

Compensation

  • $15/hr
  • Opportunity to be promoted to manager
  • Wage increase based on performance
